Rate: $11.00/hour
Schedule: 10-12 hours per week. Must be able to work Monday's, Wednesday's and Friday's from 8:00AM - Noon.
Start Date: on or before 1/9/2019

Position Summary:

The primary responsibility of the Receptionist is to meet and greet all callers and visitors of Applied Composite Technology Aerospace (ACTA), and Freedom Innovations Inc., and to ensure they are promptly, professionally and properly directed to their point of contact within the company. The Receptionist must have a pleasant professional demeanor with company visitors/clients, employment applicants and employees. The receptionist will maintain a smooth, well planned, and orderly flow of Clients and Employees.

Responsibilities:

  • Maintaining excellent customer service to vendors and co-workers; demonstrated modest, pleasant and professional appearance that positively represents the Company's Image.
  • Performs all reception functions including incoming calls in a professional and timely manner and transfer calls to the appropriate employees; takes messages when appropriate and delivers to the appropriate employee.
  • Answers calls for sales and or product service and helps with a courteous and friendly manner; offers and serves refreshments to guests and visitors.
  • Knowledge of staff movements (meetings, out of office, visiting other building)
  • Scheduling of conference rooms for all meetings
  • Ensures timely, accurate and professional resolution of inquiries and requests
  • Maintains a visitor log and issues/gathers badges to all visitors
  • Ensure that all visitors are reminded that no cameras are allowed in the facility
  • Conference room set up/clean up (food and drink preparation) including keeping white boards cleaned, and chairs straightened every day.
  • Maintain a 5S compliant, professional appearance of the lobby and all ACTA Conference Rooms
  • Maintains Company phone list and birthday lists
  • Respects confidentiality in discussing customers, visitors and employee matters
  • Efficiently and accurately uses office equipment
  • Booking of all traveling arrangements (Air, Hotel, Car)
  • Inputting of all Business Cards for Outlook Contacts
  • Alsco Lab Coat ordering (Maintaining and checking bill vs. delivery)
  • Handling all application requests
  • Work with Business Development team on the following items:
  • Trade Show support
  • Update spreadsheet to new format and keep log current
  • Schedule spreadsheet: travel, Customer visits, Contacts
  • Store and develop marketing samples/customer tokens
  • Develop standard templates for: Trip Reports, Customer Database
  • All other necessary office related projects as needed or assigned

Knowledge, Skills & Requirements:

  • High School Diploma
  • Demonstrated performance in acting as a dependable and reliable person
  • Strong commitment to customer service and professionalism (appearance and actions)
  • Strong oral and written communication skills
  • Exceptional organizational skills and ability to prioritize and follow through
  • Exceptional verbal communication and telephone skills
  • Friendly and courteous demeanor on phone and in person
  • Computer literate in using MS Office and Excel applications

Success Factors:

  • Ensure that 99% of all visitors are "Raving Fans" of ACTA
  • Answer phones within 3 rings
